Duration: ASAP-3/31/19

Hours: M-F 8am-5pm

Pay: $17.00/hr

RESPONSIBILITIES AND FUNCTIONS

  • Manages Executive(s) calendars and schedules appointments

  • Create/maintain calendars/coordinate meetings avoiding scheduling conflicts

  • Acts as liaison between Executive(s) and direct reports

  • Screens incoming calls and correspondence, and responds independently when possible

  • Organizes programs, events, meetings and/or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budget

  • Available to attend Company programs, events, meeting and/or conferences, as requested, to assist in taking minutes and on-site coordination of such functions

  • Ensure meeting participants (e.g., external customers; executives) have appropriate access to facilities and systems(e.g., issue security badges; request building access; internet access)

  • Prepares agendas, notices, minutes and resolutions for corporate meetings

  • Composes and updates confidential correspondence, reports, spreadsheets/worksheets and other complex documents

  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings

  • Prepares and submits Executive(s) monthly expense reports

  • Reconciles corporate credit card account(s)

  • Responsible for ensuring that payroll timesheets for Executive(s)' direct reports are submitted

  • Opens, sorts and distributes mail, and determines the level of priority

  • Maintains current and archived files

  • Assists with and/or oversees special projects

Working hours: M-F 8am-5pm

Skills:

Qualifications:

--3-4 years of related experience as an assistant to a Vice-President

--Managed Care or medical industry experience a plus

--Proficient in MS Word, Outlook, Excel, PowerPoint and the Internet

--Professional appearance and pleasant telephone manner

--Must have good command of the English language, oral and written

--Ability to interact with multiple levels of management including, clients and vendors
